Patient and claim data is held within defined AWS regions. Data location is set by explicit configuration, not by default.
Role-based access control
Cognito-backed authentication with clinic-level isolation. Staff access provisioned via audited invite chain — no shared credentials.
Immutable claim records
Every state change, override, and submission is logged with actor identity, timestamp, and reason code. Nothing is deleted — only superseded.
Recorded insurer submission
Each submission is recorded against the claim with the generated file name, trace ID and timestamp, and insurer confirmation is captured where the insurer provides one.
Multi-clinic architecture
Designed for insurer-led deployment across clinic networks. Each clinic operates in an isolated environment within a single insurer tenant.

Scope of the platform
JapanCareID creates, stores, and manages no clinical records. It is not an EMR and never becomes one. It conveys claim documentation — which contains the health information the patient has expressly consented to share with their own insurer — together with financial and demographic data, and health data resides in the patient's jurisdiction of origin.

Clinic staff log the encounter. JapanCareID captures structured data, removing manual re-entry of the same details across insurer forms.
Document extraction and validation

Supporting documents are processed. Fields are extracted, checked by clinic staff, cross-referenced and anomaly-flagged before any submission.
Patient confirmation and physician review

The patient confirms the claim on their own authenticated device. The structured physician form is completed in-platform. Both are logged against the claim record with actor identity and timestamp.
Submission to insurer

The claim package is routed to the correct insurer. Trace ID, timestamp and submission record are logged immutably, with insurer confirmation captured where provided.
